The Reality of Fuel in Civil Operations

Multiple machines. Multiple sites. Multiple operators. Long days.

Fuel moves constantly across your operation. Keeping track of it shouldn't be this hard.

Excavators, dozers, graders, rollers moving between projects

Fuel trucks running between site tanks and equipment

Operators changing shifts, equipment moving across jobs

Tight deadlines and pressure to keep machines running

Depot tanks, Fuel Trailers, Service Trucks and Fuel Pods

You know how much fuel you bought. But where did it actually go?

The Hidden Cost of Manual Fuel Tracking

Paper notebooks get wet, lost, or left in the wrong ute.

Operators forget to write down fuel-ups when they're rushing to get back to work.

End of month arrives.

You have a stack of incomplete fuel records.

Missing entries. Unclear machine IDs. No job codes.

Someone has to sit down and try to rebuild what happened from memory and receipts.

This Creates Real Problems

Time Cost

Hours spent each month reconstructing records

Job Costing Uncertainty

Can't accurately allocate fuel costs to specific projects

Fuel Excise Stress

Weak records mean hours spent supporting claims or money left on the table

Mental Load

Constant worry about missing fuel records and incomplete documentation

Nobody wants to spend their evenings rebuilding fuel spreadsheets.

Fuel Is One of Your Largest Operating Costs

But most contractors can't answer these questions:

Which job used how much fuel last week?

Which machine is the most fuel intensive?

What did fuel actually cost for that subdivision project?

Where is the fuel actually going?

This Affects Profitability

Without accurate fuel data, you can't properly cost jobs.

You're estimating. Guessing. Using averages.

That means you might be quoting too low on heavy work or leaving money on the table when jobs run lean.

Fuellox Makes Fuel Visible Per:

Project

Allocate fuel costs to specific jobs automatically

Site

Real Examples

  • "How much fuel did the 30-tonne excavator use on the Bayside subdivision last month?"
  • "Which roller is burning the most diesel per hour across all sites?"
  • "What's the total fuel cost for Project Redhill so far this quarter?"

Clean Records Support Fuel Tax Credits

Claiming fuel excise requires clean, accurate records.

Most civil contractors are eligible for significant fuel tax credits.

Off-road equipment qualifies for excise credits

Credits can add up to thousands per month on large operations

But you need documentation to support your claims

The Problem

Without automatic records, businesses either:

1. Underclaim because they can't prove usage

2. Spend hours at month-end reconstructing records for the accountant

3. Stress about audit risk with incomplete documentation

Fuellox Automatically Records:

Which machine fueled (excavator, dozer, grader, roller)

Exact litres dispensed

Date and time stamp

GPS location of the fuel-up

Job or project code

Who authorized the fuel-up

Your accountant gets clean data. Your fuel excise claims have proper backup. No stress.

Note: Fuellox provides accurate fuel records to support your excise claims. Your accountant or tax advisor handles ATO submissions. We give you the data. They handle the paperwork.

Frequently Asked Questions

How It Works

How does the Fuellox system actually work?

It's simple. No fobs. No cards. Just a phone and a QR code.

The operator opens the Fuellox app, scans the QR code on the machine they're filling, pumps fuel, and walks away. Done.

The system automatically records who pumped, how much, when, where (GPS), and what machine got the fuel. All saved to the cloud instantly.

What if we're out of mobile range?

You won't lose a single drop of data.

If there's no mobile service, the data queues up on the phone and sends automatically as soon as the driver is back in range. It's designed specifically for remote work.

Do operators need to enter odometer or hours manually?

Yes, but the system makes it smart.

You set the rules for each asset once in the dashboard. When a driver scans the QR code, the app knows to ask for "KM" for a ute or "Hours" for a machine.

Your staff just enter the number and the app handles the rest. We're also exploring telematics integration to eliminate this step in the future.

What if an operator forgets their phone?

We've got you covered.

A supervisor can easily authorize the fuel for them using their own phone, or on our heavy-duty units, you can use a manual bypass mode in an emergency to keep the job moving.

Setup & Installation

Is installation complicated?

No. This is a DIY-friendly system.

Unlike competitors who require a specialist technician at $1,800 a day, your own mechanic can install the 12V trailer units and a local sparky can handle the 240V power.

We provide clear documentation and direct technical support during installation. Most installs are done in under an hour.

Do you supply the flow meter or do I need to buy one?

We include the flow meter in the kit.

If you already have compatible meters (like Pusey or LC meters), we can work with those too. We'll even help you save $3,000–$4,000 on the setup by using your existing hardware where it makes sense.

Can we roll out hardware slowly?

Absolutely.

Start with your big bulk storage units or main fuel trailers and assess the benefits before full rollout. There's no requirement to do everything at once.

What if I want to add more tanks or equipment later?

Easy. Adding an auxiliary tank or new pod is the exact same simple process as your first setup.

Once you add the Fuellox hardware, the new tank automatically appears in your dashboard with almost no extra setup required.

Data & Reporting

How do I get the data out for my accountant?

You have total control over your data.

Give your bookkeeper a login. She can filter by date, project, or cost center and download a CSV file directly from the cloud.

No typing. No chasing. No manual pivot tables. Just clean, ready-to-use data.

Can I track fuel by project or job?

Yes. This is one of Fuellox's core strengths.

You can allocate fuel to specific projects, crops, cost centers, or clients. The system lets you see exactly what the harvesting contract cost you in diesel, down to the cent.

Perfect for back-charging contractors or allocating costs between the farm and civil side of your business.

How does Fuellox handle on-road vs off-road fuel for tax claims?

Fuellox identifies the machine at the pump.

The report automatically splits usage by asset type—heavy transport vs off-road machinery—so your accountant can claim the maximum amount instantly.

Every litre is stamped with GPS location, giving you irrefutable proof of where the fuel was used. That protects your claim and your accountant's reputation.

Can I see real-time tank levels?

Yes, with the right hardware.

If you add dip sensors to your tanks, Fuellox will display live tank levels in the dashboard. This helps you avoid running dry and plan refills better.

Can your API integrate with our existing systems?

Yes. If you have a business analyst who wants to get fancy, they can pull the data automatically via our API.

It's your data, your way. We provide the flexibility for future customization.

Managing Assets & Users

We have hundreds of assets. How do drivers find the right equipment?

QR codes eliminate manual selection.

Once deployed, drivers simply scan instead of searching through hundreds of items in a dropdown list.

You can even disable the manual selection list entirely once QR codes are live, making it foolproof.

How do we track small gear or rentals that don't have a QR code?

You have total flexibility.

For gear you use all the time, just stick on one of our QR stickers.

For occasional third-party equipment or small rentals, staff can skip the scan and select the asset manually from a dropdown in the app.

Can operators add equipment on the fly?

Yes. Operators or supervisors can add equipment (like a diesel pump) instantly via the mobile app without waiting for dashboard access.

This makes the system flexible and responsive to real-world needs.

How do we onboard casual staff during busy seasons like harvest?

It's quick and simple.

Send them an SMS invite, they download the app, and they're done in minutes. No IT department required.

What if operators pick the wrong project categories?

We make it foolproof for the drivers.

You can choose to make project selection mandatory or optional. And because your categories are simple (like "Summer Crop" vs "Winter Crop"), the boys will get their heads around it quickly.

It ensures you get the data you need without slowing them down.

Security & Theft Prevention

Can Fuellox physically prevent fuel theft?

No lock is 100% bolt-cutter proof.

But the biggest deterrent is the data. Right now, you have no way of knowing what's missing. Once people realize you're watching every litre in real-time, behaviors change overnight.

"Shrinkage" virtually disappears. We also offer anti-siphon cap modules as an optional add-on for trucks and equipment.

Can I get alerts if someone fills up an unusual amount?

Yes. You can set volume limits per asset to prevent overfilling or misuse.

The system gives you real-time visibility into fuel consumption per asset, enabling detection of suspicious activities like unauthorized dispensing.

Is the Bluetooth connection secure?

Yes. Someone random can't just walk up and connect.

Each user needs a proper login that you control. This prevents FOB-sharing issues and unauthorized fueling that you see with token-based systems.

Hardware & Reliability

How long does the hardware last?

These units are built for the long haul.

Our Gen 1 units have been in the field for over 8 years. The Gen 2 units you're getting are even more compact and reliable.

Plus, with Fuellox Care, if the electronics inside fail, we replace it for free. You're never left with a dead investment.

What happens if there's a power surge or lightning strike?

We've designed it so a power surge blows a $40 fuse instead of frying your expensive electronics.

And under our Fuellox Care program, the unit is fully covered. If it fails, we just send you a new one.

Will I get stuck in an upgrade cycle like with modems?

No. We're future-proof because we don't use modems.

While competitors force you to buy new hardware every time a cellular network (like 3G or 4G) shuts down, Fuellox uses Bluetooth. Your smartphone does the work, so you're never trapped in an expensive upgrade cycle again.

Does it work with service trucks that have two fuel lines?

The system works perfectly with both lines—you just use them one at a time.

For almost every operation, this minor limitation is a non-issue compared to the massive benefit of having both lines fully tracked and digitized.

Can you handle petrol or other fuels?

Yes. We handle petrol easily by mounting the controller outside the hazardous zone and using ATEX-certified flow meters.

It's a standard technical setup that keeps you compliant and safe.

Support & Service

What kind of support do you provide?

We provide direct technical support via phone and email.

With 4,000 users on the system, we've had only four help desk calls since mid-December—and two of those were simple bookmark issues.

The system is intuitive and requires minimal support. But when you need us, we're here.

Who handles support if the boss is away or overseas?

We've got your team covered.

We'll establish direct contact with your brother or site managers so they can reach our support desk directly. The system stays supported even when you aren't there.

Do you offer a trial period?

The system is proven with thousands of units in use.

We offer a money-back guarantee if you're unsatisfied after evaluation. That's how confident we are in the product.

Cost & ROI

Isn't manual tracking free?

Manual tracking is actually costing you thousands.

Between the admin hours spent chasing paper (typically 3+ hours per month at $600+) and the 40-70% of data loss that prevents you from claiming Fuel Tax Credits (often $4,000–$7,000 per month), you're likely burning serious money.

This system finds that lost money.

How do I justify the cost to management?

We provide everything you need to get a "Yes" from the front office.

From detailed scoping documents to visual demos and financial summaries, we make it easy for management to see exactly what they're buying and why it makes sense for the business.

We even provide a calculator so you can prove the ROI to the penny.

When will this pay for itself?

This system pays for itself in weeks, not years.

When you look at the money you'll save in admin time and the thousands you'll recover in previously unclaimed tax credits, most customers see full payback within 2-3 months.

After that, it's pure savings every month.

Can I claim previous years' tax credits?

The ATO allows a 5-year lookback for corrections.

We can help you prepare the data for your accountant to review and submit. Fuellox positions itself as a data tool—your accountant handles the actual ATO submissions.
